How to Use the Productivity Calculator

Getting started takes just a moment. Follow these steps to begin tracking.

Step 1: Enter a Task Name

Type the name of the task you want to track — for example, “Write project report” or “30-minute run.”

Step 2: Select a Category

Choose the category that best fits the task — Work, Personal, Study, Health, or Other. Categories are used to generate per-category analytics in the insights section.

Step 3: Set the Estimated Time

Enter how long you expect or expected the task to take, in minutes. This figure is used to calculate your efficiency score for that task.

Step 4: Enter the Actual Time (Optional)

Once the task is underway or complete, enter how long it actually took. The difference between estimated and actual time drives your efficiency calculation.

Step 5: Set the Priority

Use the priority slider to rate the task from 1 (lowest priority) to 5 (highest priority). Priority levels are used in sorting and in the high-priority completion metric.

Step 6: Set the Status

Choose Not Started, In Progress, or Completed to reflect the current state of the task.

Step 7: Click Add Task

Click the Add Task button to save the entry. It will appear in your task list immediately and be factored into your dashboard metrics.

Step 8: Monitor Your Dashboard

As tasks accumulate, your productivity score, task completion rate, and average efficiency update in real time. Review the analytics charts to see efficiency breakdowns, trends over time, and time distribution by category.

Step 9: Filter, Sort, and Edit

Use the filter dropdown to view tasks by status and the sort options to order by priority, name, or efficiency. Click the edit icon on any task to update its details or the delete icon to remove it.

The mean efficiency score across all tasks where both estimated and actual times have been entered. An efficiency above 100% means tasks are being completed faster than estimated; below 100% means they’re taking longer.

Three visual charts provide deeper insight — a bar chart showing efficiency by category, a line chart tracking productivity trends over time as tasks are added, and a doughnut chart showing how your total logged time is distributed across categories.
